Summary

The Strategic Advisor within the Michigan Medicine Office of the Chief Operations Integration Officer will work closely with each member of the Enterprise Triad (Chief Operations Integration Officer, Chief Nurse Executive, and Executive Director, UM Medical Group), to enable the mission, vision, and values of Michigan Medicine through the development, facilitation, and strategic implementation of the Enterprise Triad Operating Plan, fiscal year priorities, and operations supporting the clinical enterprise. This role is instrumental in driving and supporting organizational initiatives and change management strategy, working within a complex, dynamic environment, and assisting to manage timely response, coordination and progress for institutional timelines, meeting preparation and organization, agenda planning, preparing with presenters, and assuring communications and presentations are complete representing the Enterprise Triad.

Operations:

The position is accountable for designing, implementing, and evaluating management systems for the Enterprise Triad to enhance operations and assist with the development and implementation of short- and long-term priorities and alignment of resources. This individual will contribute and lead significant projects, including standardizing tools, templates, mechanisms, and methodologies ensuring effective use of time and resources. The role includes managing governance committees and facilitating components of the hospital operating system such as tiered huddles, leadership meetings, and the annual operational priorities and planning cycle.

The Strategic Advisor will manage strategic initiatives, programs and projects. This will include monitoring progress and performance against the project plan, identifying and resolving operational problems, and minimizing delays. This individual will also evaluate and submit changes that significantly impact the scope, budget, or timeline of a project; select and manage ongoing relationships with external contractors and colleagues to ensure the organization provides satisfactory standards of service; and lead, direct, the support team to ensure that projects are completed on time, within budget, and according to project specifications.

Additionally, the role will research, advise, and execute activities necessary for the effectiveness of the Enterprise Triad admin team. These responsibilities include supporting the Enterprise Triad's situational awareness of sensitive/timely information, helping to prioritize daily issues, formulating internal and external communications, finding creative ways to instill positive culture and lead change, creating and maintain mechanisms for listening to the voices of all constituencies such as internal surveys or Town Halls, building the infrastructure for coalitions where necessary, directing various dashboards/analyses, and coordinating all aspects of strategic and operational planning, leadership meetings, forums and schedules. This role will liaison with institutional-level programs ensuring cohesive integration, such as the Office of Clinical Affairs, Office of Patient Experience (OPE), Office for Health Equity and Inclusion (OHEI), MM Quality Department, MM Strategic Planning Office and others.

Human Resource duties include interviewing, selecting, and training of assigned employees; setting and adjusting rates of pay and hours of work; planning and directing work; appraising productivity and efficiency for the purpose of recommending promotions or other changes in status; ensuring engagement, and if needed, taking corrective action. Additional duties include: developing position descriptions for Enterprise Triad administration roles ranging from professional to executive level; facilitating appointments with HR and faculty affairs; facilitating and supporting employee onboarding and orientation as appropriate; and overseeing internal department activities such as internal controls, emergency planning, access to systems, employee engagement planning, and other duties as assigned.

Responsibilities*

  • High-level administrative coordination and facilitation in support of the Enterprise Triad

  • Provide leadership, consultation, and advice to the Executive Lead Team regarding organizational alignment strategies, communication, and change management strategies and integration of operational management structure through to execution.

  • High-level administrative coordination and facilitation of the Office of the Chief Operations Integration Officer.

  • Manages support staff as noted below ensuring highly competent performance of duties including planning, task management, status reporting, outcome delivery, etc.

  • Directs Enterprise Triad Executive and other governance Committees operating calendars, scheduled and ad-hoc agenda topics based on the needs of the operations and ensures sufficient professional staffing support including preparing meeting format, communicating to members, and preparing materials and presentations in service of committee priorities.

  • Works with leadership to create follow-up actions and documentation of all committee issues and concerns.

  • Assists the Enterprise Triad with strategic planning process including retreats, developing, and implementing the resulting short- and long-term strategies, policies, procedures, practices, and programs.

  • Orchestrates professional staff support for leadership meetings and forums and staff venues requiring independent judgment and planning.

  • Directs the scheduling of meetings and agendas, and oversees final preparations are complete and of a high standard.

  • Represents the Enterprise Triad on committees, internal and external to the institution, including special task forces, project teams as designated; assumes operational responsibility for specific projects and/or activities as designated.

  • Serves as liaison between the Enterprise Triad Office and committees, programs, and projects as assigned.

  • Prepares and/or analyzes proposals on complex topics, making recommendations, action plans and implementing as appropriate.

  • Synthesizes large quantities of data and information to create succinct communications to influence decision-making and inform broad audiences.

  • Manages communications, programs and/or projects to enhance entity operations. Plans, implements, and evaluates specific projects designed to enhance entity effectiveness.

  • Participates in the design, implementation, and evaluation of defined programs to promote attainment of entity goals.

  • Works with Enterprise Triad leadership and others to identify and recommend fiscal, material, and human resource requirements for specific project/programs.

  • Researches and investigates issues and problems. Works with Enterprise Triad leadership and other departments to resolve issues and problems. Initiates follow-up to all pertinent parties.

  • Prepares written reports and/or proposals for the Enterprise Triad

  • Coordinates, reviews, and summarizes relevant literature sources and briefing requests as assigned.

  • Independently develops written communications, e.g., correspondence, presentations, business communications, and independently drafts replies for the Enterprise Triad.

  • Develops and maintains a strong knowledge of the entity's functional areas and hospital linkages to enable independent handling of appropriate matters.

Required Qualifications*

  • Master's degree in health services administration, nursing, business administration, or an equivalent combination of education and experience

  • Minimum of 5 years of process improvement and/or project management experience in a healthcare setting

  • Progressive leadership experience in healthcare with experience in understanding hospital-based inpatient clinical work and workflows

  • Demonstrated leadership in project management and continuous improvement strategies

  • Experience managing in a complex, matrixed organizations

  • Proven problem solving, influence and conflict resolution skills demonstrating a high degree of creativity, initiative and resourcefulness

  • Ability to prioritize and negotiate priorities and deadlines

  • Demonstrated ability to work effectively with diverse, interdisciplinary teams, and represent the Enterprise Triad Leadership Team as required to a wide range of external and internal parties

  • Advanced skills in computer software applications such as Word, Excel, and PowerPoint as well as shared documents and cloud-based collaboration tools

  • A high degree of creativity, initiative, and resourcefulness

  • Excellent interpersonal, verbal, writing, and proofreading skills to facilitate and expedite communication?within the Executive Lead Team, the Associate Lead Teams, support teams, and other Segments across the Michigan Medicine clinical enterprise.

  • Demonstrated ability to coordinate, integrate, and effectively partner with executive leaders and others across the organization including a commitment to confidentiality, and where appropriate, transparent information sharing and inclusiveness.

  • This role reports directly to the Chief Operations Integration Officer with functional supervision provided by the Chief Nurse Executive, and Executive Director, UM Medical Group. This position works closely and under the direction of the Enterprise triad.
